FAQs

General
How far in advance can I book a room or facility?

Rooms and facilities are booked on a first-come, first-serve basis, so we recommend booking as early as possible to secure your preferred date.

What is included in my rental?

All folder chairs, tables, and Wi-Fi are included in the rental fee. Additional fees may apply for additional equipment.

What happens if I lose or damage something during my rental?

The Society assumes no responsibility for lost or stolen property or injuries to the renter during the activities authorized by the agreement.

If there is damage to the Society’s property or equipment during the rental by the renter a fee will be applied.

Can I pay for the rental on the day of the event?

No, payment must be made in full at least 14 days prior to the rental date to confirm your booking.

Food and Catering
Can I cook or heat food on the premises?

No cooking is permitted on-site. All food must be prepared off-site, and all caterers must have the appropriate permit or license.

Can my caterer arrive earlier than the rental start time?

No, all service providers, including caterers and decorators must arrive during the rental contract period.

Do I need to clean up my caterer’s supplies after the event?

Yes, all caterer supplies must be removed by the end of the rental period. No exceptions.

Liquor Procedures/Insurance
Do I need a liquor license for my event?

Yes, a provincial special occasion liquor license (SOL) is required if liquor will be served and/or consumed during the event.

Where can I purchase the required insurance?

General Liability Insurance, in combination with Host Liquor Liability Insurance, can be purchased through Leaders Insurance Brokers in Port Moody. A minimum of $2,000,000 coverage is required.

Set Up & Clean Up
Who is responsible for setting up and cleaning up tables and chairs?

Renters are responsible for setting up and taking down tables and chairs and must store/stack them properly after the event.

Can I bring my own sound system?

Yes, renters are responsible for providing their own speakers and sound equipment.

Are there restrictions on the capacity?

Yes, the seating capacity of each facility or room must be adhered to.

Can I move tables and chairs to another area or facility?

No, tables and chairs must remain in the facility/room where they are provided.

Can I use clay in any rental room?

No, clay is only permitted in the Ceramic Studio.

Cancellation Policy
What is your cancellation policy if I need to cancel my booking?

Cancellations initiated by the renter within 7 days of the booking are not eligible for a refund.

What happens if the Society cancels my booking?

In the rare event that the Society cancels, you will be reimbursed in full for the cost of that day.

Booking Process
How do I book?

Select the facility you'd like to rent and choose the duration (including setup and takedown time). Enter the number of attendees (must be within room capacity) and select your preferred date and time. Click "Request" and log in or create an account in our booking system, XplorRec. Once submitted, staff will review your request and contact you.

How do I make an XplorRec account?

To register for an XplorRec account with us, please click here. At the top, click “Signup” next to “Don’t already have an account?” and fill in your information.

What happens after I submit a booking request?

We will email you to gather additional details about your booking. Once confirmed, we’ll approve the request, set up payment, and send you the rental agreement and payment options. Your rental is confirmed once payment is received and the signed agreement is returned.

Payments
How do I pay online?

To pay online:

  • Login to your XplorRec account here.  
  • Once logged in, you will be taken to the “My Info” page.
  • Click on the “Invoices” tab. This will show you all invoices attached to your account.
  • Click on the white box for the payment that is due and make payment.
How else can I pay?

You can call our customer service team at 604-931-2008 ext 0 and pay over the phone, or you can visit PoMoArts and pay in person.

What is the payment deadline?

Payment is due 14 days prior to the rental date.
