What will the day of the party look like?

Upon arrival, art activity participants will proceed directly to the activity, so it’s important to be on time!

The activity will last 1.5 hours for Ceramics, and 1 hour for Visual Arts. During this time, parents/guardians have access to the party room and can set up.

Once the activity has finished, the participants will go to the party room and will have 1 hour to celebrate. Please note however that takedown must be completed within this hour as well.

The total duration will be 2 to 2.5 hours, depending on if you’ve booked a Visual Arts or Ceramics activity.

When should we arrive?

Art activity participants must arrive on time, as being late will reduce your activity time. Please be ready at the start time, but do not arrive more than 15 minutes early.

When can I set up?

Parents/guardians have access to the party rental room during the art activity and can use this time (1.5 hours for Ceramics, 1 hour for Visual Arts) to set up.

PoMoArts will provide tables and chairs in the party room.

Can I have party decorations?

There are some decorating limitations to be aware of. We unfortunately cannot allow piñatas, sparklers, confetti, or glitter in or outside the building, and no decorations on the walls.

When does takedown happen?

Takedown must be completed within your 1 hour party room rental time. There can be a lot going on in our facilities; please be mindful that the room may be booked by a class or another group after your event!

How do I book?

How do I make an Xplor account?

To register for an Xplor account with us, please click here. At the top, click “Signup” next to “Don’t already have an account?” and fill in your information.

We recommend signing up right after submitting your Birthday Party Request Form. This speeds up the booking process for you later on, as an account with us is needed for invoicing.

How far in advance should I book?

Booking requests must be submitted a minimum of 21 days before your preferred party date, although earlier is recommended as our spaces fill up fast! We cannot process requests made less than 21 days in advance.

What is the booking process?

1. Instructor Confirmation: Once we receive your form, we’ll check instructor availability for your selected activity and date.
2. Booking & Contract: When an instructor is confirmed, we’ll add your party to our facility calendar and prepare your Birthday Agreement. You’ll receive the Agreement and payment instructions by email. Please note: you’ll need an active Xplor account with PoMoArts to proceed.
3. Final Confirmation: Your party booking is officially confirmed once we receive your signed contract and full payment.

An estimated duration for the booking process is up to 2 weeks, although this can vary due to a number of factors. As payment is due 14 days before the party, we recommend booking well in advance so that your booking is ready before the payment deadline.

Who do I contact if I have questions?

If you have any questions about birthday parties, or have any requests (eg. participants outside of the 6-14 age range, or exceeding the maximum number of guests), please email office@pomoarts.ca

How many guests can I have?

Ceramics: you can have between 6 to 10 participants for the art activity (this is including the guest of honour).

Visual Arts: you can have between 6 to 12 participants for the art activity (this is including the guest of honour).

Guests not participating in the art activity (i.e. those only present in the party room, such as parents) are excluded from the above totals.

To request permission to exceed the maximum number of activity participants, please email office@pomoarts.ca. Approval of these requests is not guaranteed.

What if my number of guests changes/if I don't know my number of guests yet?

Any changes to the number of guests needs to be received at least 7 days before your party date in order to adjust your booking. If your guest count decreases, we’ll refund the difference. If it increases, we’ll charge for the additional guest(s).

If you're unsure of the number when booking, provide your best estimate and update us as soon as you have a final count, at least 7 days before your party date.

For changes within 7 days of your party date: there will be no refunds for a decrease in guest numbers and we cannot accommodate an increase in guests.

Can I have guests outside the age range?

To request permission for art activity participants outside the age range (6-14 years), please email office@pomoarts.ca. Approval of these requests is not guaranteed.

There’s no age limit for party room guests, however. All ages are welcome to attend your 1 hour party room time.

Can I have guests during the party hour?

Yes, you can have additional guests at your party room. The art activity maximums do not apply.

The cost of your booking is per art activity participant, and is not affected by the guests attending only the party room portion.

How do I pay online?

To pay online:

• Login to your registration account here.
• Once logged in, you will be taken to the “My Info” page.
• Click on the “Invoices” tab. This will show you all invoices attached to your account.
• Click on the white box for the payment that is due and make payment.

How else can I pay?

You can call our customer service team at 604-931-2008 and pay over the phone, or you can visit PoMoArts and pay in person.

What is the payment deadline?

Payment is due 14 days prior to your party date.
